Is Time Blocking For You?

If you’ve ever felt like your calendar is running you instead of the other way around, you’re not alone! Between meetings, emails, and deep-focus work, it’s easy to feel like the day slips away before you’ve made real progress. That’s where time blocking comes in—it’s a simple strategy that helps you stay focused, reduce distractions, and take control of your time.

I’ve helped clients successfully implement time blocking to take control of their calendars, and I use it every day myself. It’s a game-changer for productivity and ensures that your most important work gets done.

Our weeks are often unpredictable, filled with shifting priorities, meetings, and deadlines. But time blocking isn’t just about fitting everything in; it’s about making space for the work that moves your business forward. Meetings allow us to discuss ideas and make decisions, but progress happens in the time we set aside to execute. Without that space, we risk burnout or feeling paralyzed by an overwhelming workload.

Time blocking is exactly what it sounds like—you set aside specific blocks of time on your calendar for focused work, meetings, or personal priorities. Instead of letting your inbox or last-minute requests dictate your day, you proactively decide when and how you’ll focus your time.

Basically, anything you want to accomplish in a day can be time-blocked. That way, you know you have enough time to get it all done. For example, you might block off dedicated time to check emails, work on a project, walk the dog, or go to the gym.

To be even more effective, I recommend pairing time blocking with a related strategy called task batching, where you group similar tasks within a time block to improve efficiency.

Less Overwhelm – Gives you a clear plan so you’re not scrambling at the last minute.

1. Start with Your Priorities. Make a list of your workload, identify the tasks that have the biggest impact, and schedule time for them first. As you start this step, ask yourself this: Does it need to get done? Write it down!

2. Block the Time on Your Calendar. You cannot get the work done if you don’t make the time to do the work. Treat time blocks like appointments; protect them from unnecessary interruptions.

Tip: Color code your time blocks or specific events to bring visual clarity.

3. Batch Similar Tasks When Possible (Task Batching). Combine related tasks within a time block to minimize switching between different types of work. One way I use task batching in my own business is by grouping client work into dedicated time blocks. Instead of switching between different client projects throughout the day, I set aside focused blocks of time for each client. This allows me to get into a deep workflow without constantly shifting gears.

4. Review and Adjust. As priorities shift and deadlines change, be certain your calendar reflects those changes. If you’re noticing certain tasks or projects you’re not getting to but they need to get done, ask yourself, can this be delegated?

Your calendar should work for you, not against you. A little upfront planning creates a system that calms the chaos and keeps you in control.

When I meet with clients who feel overwhelmed by their calendars, one of the first things I ask is: When do you have time to think? That question is often met with a blank stare or an uncomfortable chuckle (no kidding!). My response? Let’s get that time on your calendar.

We also look at how meetings are structured. For example, I often notice 1:1 meetings scattered throughout the week. Rather than switching between unrelated meetings all day, I help clients batch their 1:1’s into a dedicated time block—like a specific morning or afternoon— so they can focus on deep work during the rest of the week. This simple shift reduces context-switching.
